Alumni Association Policy
(Approved by the College Governing Body)
1. Introduction
The Alumni Association of SIAS (Sibga Institute of Advanced Studies) serves as a vital bridge between the institution and its former students. This policy aims at formalizing the structure, roles, and functions of the Association to foster long-term engagement, support institutional growth, and celebrate alumni achievements.
2. Objectives
- To promote a lifelong connection between alumni and the college.
- To encourage alumni participation in academic, cultural, and developmental activities.
- To facilitate mentorship, internships, and placement opportunities for current students.
- To raise resources for the development of the college through donations, sponsorships, and expertise.
- To honour distinguished alumni for their contributions to society and the institution.
3. Membership
Eligibility:
- All graduates and postgraduates of the college shall be eligible for membership.
- Former faculty members can be invited as honorary members.
Types of Membership:
- Life Membership: Onetime payment of a prescribed fee.
- Annual Membership: Renewable every academic year.
- Honorary Membership: For individuals who have rendered valuable service to the college.
4. Governance and Structure
Alumni Association shall have the following office bearers:
- President
- Vice-President
- Secretary
- Joint Secretary
- Treasurer
- Executive Committee Members (minimum of 5)
Term of Office: Three years, renewable for one more term.
Election and Tenure: Office bearers shall be elected by members of the Association through a general body meeting. Elections shall be conducted in a transparent and democratic manner.
5. Functions and Activities
- Organizing alumni reunions and networking events.
- Publishing alumni newsletters, magazines, or e-bulletins.
- Supporting student welfare initiatives such as scholarships, endowments, and prizes.
- Promoting academic and career development programs.
- Participating in institutional planning and quality enhancement activities.
- Creating and maintaining an alumni database.
6. Financial Management
- The Association shall open and operate a bank account jointly operated by the Treasurer and one designated office bearer.
- All financial transactions shall be transparent and audited annually.
- Income sources include membership fees, donations, fundraising events, and grants.
7. Meetings
- General Body Meeting: Held annually; quorum is 1/3 of total members or 30 members, whichever is less.
- Executive Committee Meeting: Minimum of three times a year (of which a minimum of one should be a physical meeting).
8. Liaison with College
- The Association shall work in coordination with the college’s Alumni Cell, under the supervision of a faculty coordinator appointed by the Principal.
- One member from the college administration (preferably the Principal or nominee) shall be a part of the Executive Committee as an ex-officio member.
9. Recognition and Awards
- The Association shall institute awards for notable alumni in fields such as academics, public service, entrepreneurship, arts, and social work.
- Alumni contributions may also be recognized during college annual day or convocation.
10. Amendments
This policy may be amended with the approval of two-thirds of the General Body members present at a meeting, and subsequent approval by the College Governing Council.
11. Dissolution
In case of dissolution of the Association, all assets shall be transferred to the college development fund or any charitable purpose as approved by the College Governing Body.
