The Senior Office Superintendent (SOS) is the head of the administrative office and plays a key role in ensuring the smooth functioning of non-academic operations of the college.

  1. 1. General Administration

    • Supervise and coordinate the entire administrative office and its staff.
    • Ensure timely and proper maintenance of files, records, registers, and official correspondence.
    • Oversee day-to-day office operations and internal communications.
  2. 2. Personnel Administration

    • Maintain service records, leave accounts, and personal files of teaching and non-teaching staff.
    • Assist in recruitment procedures, promotions, transfers, and disciplinary matters.
    • Implement government orders, university circulars, and departmental instructions related to staff service matters.
  3. 3. Financial Administration

    • Assist the Principal in budget preparation, financial planning, and fund management.
    • Supervise preparation of salary bills, arrears, GPF, PF, TA, and other claims of employees.
    • Ensure maintenance of cash books, vouchers, audit registers, and grant utilization reports.
    • Liaise with government departments for salary grants, UGC funding, and audit compliance.
  4. 4. Academic Support

    • Handle university affiliation processes, examination matters, and student admissions documentation.
    • Ensure accurate maintenance of student records, fee collection registers, and certificates.
    • Coordinate with departments regarding time tables, exam schedules, and internal assessments as needed.
  5. 5. Correspondence and Communication

    • Draft and dispatch official letters, circulars, reports, and notices.
    • Maintain inward and outward registers and ensure timely replies to communications from university, government, and other institutions.
  6. 6. Supervision and Monitoring

    • Distribute work among office staff and supervise their performance.
    • Ensure punctuality, efficiency, and discipline among clerical and supporting staff.
    • Report to the Principal regarding office functioning and propose improvements where necessary.
  7. 7. Statutory and Legal Compliance

    • Ensure that records and reports are prepared in compliance with audits (AG audit, DCE audit, Local Fund Audit).
    • Assist the Principal in preparing reports for NAAC, IQAC, UGC, and government bodies.
  8. 8. Records Management

    • Ensure proper upkeep and confidentiality of institutional records such as:
      • Establishment registers
      • Attendance registers
      • Stock and inventory registers
      • Minutes of meetings (staff council, PTA, governing body)
  9. 9. Support to Principal

    • Act as the chief administrative assistant to the Principal.
    • Advise and assist the Principal in all official matters, especially related to finance, HR, and statutory obligations.
  10. 10. Other Responsibilities

    • Manage RTI (Right to Information) applications and responses, under the guidance of the Principal.
    • Oversee infrastructure maintenance records and AMC/service contract files.
    • Coordinate welfare schemes, insurance, pension, and retirement benefits of staff.
