Duties and Responsibilities of an Accounts Officer

1.Financial Management
Manage the day-to-day financial transactions of the college. Ensure proper accounting and bookkeeping in accordance with government rules and institutional policies.

2. Budget Preparation and Monitoring
Prepare annual budgets in consultation with the Principal and Management. Monitor and control expenditure to ensure it remains within the allocated budget.

3. Maintenance of Accounts Records
Maintain ledgers, cash books, vouchers, and other relevant records. Ensure timely posting of all financial entries.

4. Audit and Compliance
Prepare financial statements and facilitate internal and external audits. Ensure compliance with audit recommendations and financial regulations.

5. Salary and Payroll Processing
Oversee the preparation and disbursement of salaries, including deductions and statutory contributions (e.g., PF, ESI, TDS).

6. Government Grants and UGC Funding
Handle proposals, utilization, and accounting of grants from UGC, RUSA, State Government, and other funding agencies. Submit utilization certificates and audit reports as required.

7. Fee Collection and Monitoring
Supervise student fee collection, issue receipts, and maintain fee registers. Monitor fee defaulters and report to the Principal.

8. Vendor Payments and Procurement Support
Process and record payments to suppliers and service providers. Ensure all procurement transactions comply with financial procedures and institutional policies.

9. Reporting and Financial Advice
Provide timely financial reports to the Principal, Management, and relevant authorities. Offer financial advice on college development projects and funding opportunities.

10. Coordination with Government and Regulatory Bodies
Liaise with treasury, bank officials, and other government departments related to college accounts.

11. Team Supervision and Training
Supervise accounts staff, assign duties, and ensure accuracy and discipline in financial tasks. Guide junior staff on changes in accounting procedures or government orders.

12. Confidentiality and Integrity
Maintain high levels of confidentiality and ensure ethical handling of all financial matters.
